Managing Telecom Expenses

Our office is incurring late fees in our telecom bills because payments get mismanaged. Our director is asking me to study telecom expense and data management before acquiring it. Aside from minimizing late fees and shutoffs what are other benefits that we can get from telecom expense and data management? Can it provide superior network management capability?

Hi.  I hope this one helps....

Distinction between private and company calls

Most people solve the issue of a company phone vs. private phone by means of several active SIM cards. This, obviously, is not an ideal solution – people are obliged to carry more devices, have to arrange more fixed tariffs and subsequently manage them. By means of the distinction between private and company calls everything is clearly separated on a single invoice and the end user benefits from corporate prices for private purposes.
The employer does not need to worry about wrong accounting of company costs and an operator has cross-sell and up-sell options also for company numbers (a new telephone purchased by an employee himself or services ordered for the family).

2. The end of „zombie“ telephones

The zombie telephone is the one which does not have its owner but in a mysterious way it somehow survives inside a drawer. Thus, it serves nobody but the company has to pay for it each month. Using a solution for administration and management of telecom expenses you can simply identify such telephones and discard them. And one more thing – are you really certain that your SIM cards or telephones are not used by any former employees?

3. Software as a service

With TEM you can use the cloud power to it‘s full extent. Administration of TEM systems and their optimisation are managed by a service provider. The system is physically run on powerful servers, which means optimum performance and security regardless of the circumstances – the user can connect to the system whenever, wherever – even from a less powerful (mobile) device.

4. Employees` time reduction

TEM optimises personnel resources as well. Employees who do not have to deal with manual control of company mobiles and fixed tariffs thus gain time for other activities. Accountants receive automatic reports for payroll deductions, thereby not having to calculate them physically.

5. Ecology and recycling

TEM provides a perfect overview about time during which individual devices are used. If a certain device is well after its „zenith“, the system will alert you and you can dispose of it ecologically or pass it on in case that it may be useful to somebody else. This, in fact, means the end of “zombie” devices mentioned above.

6. Fines never again

Managing all due dates for all those telecom items, from multiple providers is not easy. Even small companies have issues managing when contracts expire, when invoices are due, and which devices are in whos hands. A good TEM solution does it all for you.

7. Right services for right people

Allocate and administer telecom services for your employees depending on whether they need to use them or not. This way you can avoid cases when the company pays for something unnecessarily (more often than not employees do not use some services at all) and, on the other hand, cases when a certain employee lacks some service. Proper TEM brings recommendations about ideal services automatically.

8. Learning from past mistakes

The analysis of telecom expenses enables you to reveal possible past mistakes through the TEM system and prevent their occurrence in the future. When re-negotiating contracts for telecom services you can rely on real data and the needs of your company.
As we have shown, optimisation of telecom expenses can, apart from direct finance saving, bring a number of additional benefits for each company. After the implementation of TEM you may also find other advantages, unique to your company, now you only have to try them in practice.

With all the listed above, to some it all up because I've been studying superior network management it is really important that one will not look overlook the other if you really want to manage all the expenses and yes you are right a TEM is really a good help. Thanks!

A solution that will notify you and remind you of payments would be useful. Plus, I think some providers offer discounts if you pay early.
